How to Handle Common eBay Buyer Questions

Quick answer
Most eBay buyer questions fall into six recurring categories. For each one, decide in advance what information you need, what you are authorized to offer, and what the reply looks like. Then the only work left per message is checking the specific order.
1. Where is my order?
Check the last carrier scan before replying. Give the ship date, the last scan, the expected delivery, and a specific commitment for what happens if it does not move. Never reply with only a tracking number the buyer already has.
2. Is this item compatible / will it fit?
Answer only what you can verify from the item in hand or the manufacturer specification. If you are not certain, say so plainly — an incorrect yes becomes a not-as-described return. Then add the answer to the listing so the next buyer does not have to ask.
3. What condition is it really in?
Have a written condition standard and use the same vocabulary every time. Offer an additional photo when it is quick; photos resolve condition questions faster than paragraphs and reduce disputes later.
4. Can I return this?
State the window, who pays return shipping, and what condition the item must come back in. Handle in-policy returns without friction — the cost of a smooth return is almost always lower than the cost of a dispute.
5. Will you combine shipping / accept an offer?
Have a rule your whole team can apply without asking you: for example, combine any number of items shipping to one address at the highest single shipping cost plus a set amount per extra item. A written rule prevents inconsistent deals between team members.
6. It arrived damaged or wrong
Acknowledge, ask for a photo if you need one, and state the resolution in the same message: replacement, refund, or return label. Do not make the buyer chase you between steps. Log the case so you can spot packaging problems across orders.
